Location: Cameroon (Yaounde), Kenya (Nairobi), Senegal (Dakar), Zambia (Lusaka) or Zimbabwe (Bulawayo)

Contract Type: Full-time (Hybrid)

Salary: $11,000 – $12,000 (plus allowances and benefits)

Job Summary:

The Operations & IT Bilingual Support Assistant provides critical dual support to the Operations department, offering first-line technical IT assistance to ensure seamless organisational functioning. This role combines administrative excellence with technical proficiency to support operational coordination, office management, and basic IT troubleshooting. The ideal candidate will be highly organised, proactive, and possess a strong foundational knowledge of information technology systems and tools.

Reporting To:

Senior Officer, Operations.

Roles and Responsibilities:

  • Operational Support (under Senior Officer, Operations)
    • Provide meeting support by scheduling, sending invites, preparing materials and sharing minutes within 24 hours.
    • Update operational trackers every week with 100% compliance.
    • Prepare and submit accurate expense reports and vendor quotes for approval within five working days of receipt of the request.
    • Support SOO in operational spot checks and audits.
    • Support day-to-day operational tasks, escalating complex issues to the SOO.
    • Any other tasks as assigned by SOO
    • Interpret and translate any request into French if needed
  • IT Support (under IT Officer)
    • Provide first-line IT troubleshooting for team members.
    • Ensure staff onboarding includes account creation (eMail, Smartsheet, Slack, Zoom) within 24 hours of request.
    • Run monthly updates and patches on organisational systems.
    • Support the IT Officer in maintaining asset registers and conducting bi-annual IT audits.
    • Draft and circulate self-help IT guides to staff as scheduled.
    • Provide technical support for virtual meetings to ensure minimal to no disruptions.
    • Any other tasks as assigned by the IT Officer
  • Data and Systems Management
    • Support the maintenance of operational dashboards to ensure real-time data accuracy and integrity.
    • Support data validation for strategic and quarterly reports, escalating anomalies to the SOO/IT Officer.
    • Ensure all confidential data is stored and managed securely.
  • Team Support and Development
    • Support onboarding by training new team members on basic IT tools and operational processes as scheduled.
    • Coordinate quarterly refresher sessions on digital skills and productivity tools to ensure ongoing proficiency.
    • Shadow the SOO and IT Officer in high-level operational planning sessions to build capacity for progression.

Key Performance Indicators
Operational

  • Weekly tracker updates completed with 100% compliance
  • Minutes/action points shared within 24 hours

IT

  • Team accounts set up within 24 hours of request
  • Monthly updates/patches completed on time
  • 95% of meetings were supported without technical issues

Data and Documentation

  • Bi-annual IT audit and operations audits completed
  • Zero missed deadlines for submissions

Team Support

  • 100% of new staff trained on tools when scheduled
  • At least two refresher sessions delivered per year

Education and Experience

  • Bachelor’s degree in Business Administration, Information Technology, or related field
  • Minimum of 2 years’ experience in operations or IT support
  • Familiarity with helpdesk support, office software, and basic troubleshooting
  • Experience with asset management and vendor coordination preferred.
  • Familiarity with basic network troubleshooting and office software suites

Work Environment

  • Hybrid work mode
  • Must be based in one of the following countries: Kenya, Nigeria, Senegal, Cameroon, Zambia, or Zimbabwe
