Vacancy: Book Project Assistant

Paradigm Initiative (PIN) seeks a Book Project Assistant to support the Executive Director in all aspects of the ongoing development of the book on PIN. This role involves administrative support, project management, light editing, vendor coordination, and communication with publishers to ensure the timely and successful release of the book.

 

Job Type: Full-time contract for six months

 

Location: Remote. We welcome applications from English-speaking candidates resident in any country.

 

Reporting to: Executive Director

 

Key Responsibilities

  1. Manuscript Completion:
    • Assist the author in completing the final chapter.
    • Help extract the book’s introduction and glossary or index.
    • Assist the author in writing the acknowledgements, ensuring all contributors are captured.
    • Coordinate the process of obtaining a foreword from a selected individual, including drafting initial communication, scheduling, and follow-ups.
  2. Content Development and Editing:
    • Manage the editing process, including light editing, copy editing, and proofreading, to ensure clarity, coherence, and consistency.
    • Verify all details, references, and factual information within the manuscript for accuracy.
    • Gather and organise commendations and references, coordinating with reviewers and those providing endorsements.
  3. Photo and Content Selection:
    • Assist in selecting relevant photos and visual elements for inclusion in the publication.
    • Work with the author to ensure all photos are correctly captioned and credited.
  4. Vendor and Publisher Coordination:
    • Liaise with vendors, such as editors, designers, and publishers, to ensure that deadlines are met and deliverables meet quality standards.
    • Coordinate with publishers on timelines, submissions, formatting requirements, and contractual obligations.
    • Prepare all necessary documents and files required by the publisher in preparation for the two-month publishing deadline.
  5. Project Management:
    • Develop and maintain a project timeline that tracks all critical tasks and milestones.
    • Ensure all components of the book project are on schedule and proactively address any issues that may arise.
    • Provide regular updates to the author on the project’s progress.
  6. Communication and Liaison:
    • Act as the primary point of contact between the author and all stakeholders involved in the project.
    • Schedule meetings, calls, and check-ins with editors, designers, and publishers.
    • Handle correspondence, including emails and calls, on behalf of the author when necessary.
  7. Administrative Support:
    • Manage files, documents, and research materials, keeping everything organised and accessible.
    • Assist with general administrative tasks, such as scheduling and record-keeping.
    • Work with PIN’s Communications Team to develop a post-publication Marketing Plan and Book Tour.

 

Qualifications

  • Experience in publishing, project management, or a similar role
  • Strong organisational and multitasking skills
  • Excellent written and verbal communication abilities
  • Familiarity with book publishing processes
  • Proficiency in editing and proofreading
  • Ability to manage deadlines and work independently

Remuneration is fixed at  $1872.77/month.
